Every regularly attending child in Westheights Kids or Student Ministries is required to fill out a registration form.
The Why
Each year, we require families to complete an Annual Family Registration for their children participating in our Westheights Kids (Infant-Grade 5) and Student (Grade 6-12) Ministries. This process helps us keep important information—like emergency contacts, medical needs, waivers, allergies, and guardians—accurate and up to date.
Keeping this information current is essential for creating a safe and supportive environment for every child. It ensures our leaders can respond quickly and appropriately in any situation, and helps us care for your child with clarity and confidence.
Annual registration also supports clear communication between families and our team, so that any changes in your child’s needs or circumstances are known and respected. Thank you for taking the time to complete this each year—it’s a simple but important way we partner together in your child’s safety and well-being.
NEW REGISTRATION
New Registrations Form – If you have never filled out a registration form for Westheights Kids or Student Ministries before, or your child is entering Student Ministries in Grade Six from Kids Ministries.
RETURNING KIDS & STUDENTS REGISTRATION
If you’re completing registration for a returning child in Kids or Student Ministries:
Step 1: Review and confirm the information in Church Center is accurate for both guardians and children.You can update contact details yourself in Planning Center. the rest of the information is locked, you confirm/request changes in step 2.
Step 2: Returning Student Registrations Form – fill this form out for your child who is returning to Westheights Kids or Student Ministries. Alternatively, you can fill out the New Registration Form above instead – both go to the same place.
A FEW TECHNICAL FYIS
- Guardians need to sign into Church Center to fill out the forms (keeps our database organized, and allows guardians to fill out forms for their household’s children)
- You can view saved information on your child’s profile through Church Center anytime of the year through Household profiles (see tutorial here).
- Church Center can be accessed by browser or downloaded app.

Below are some regularly asked questions regarding the registration system.
Why do I need to fill this out every year?
Similarly how schools, extra-curricular activities ask for forms to be filled out when children join their program every year, we need to do the same. This allows us to make sure the information we have on file is accurate, and that our waivers are signed for the new ministry year.
Why do I have to fill out a new form when my child is joining Student Ministry if they were part of Westheights Kids before?
This gives our staff a peace of mind that all the information is current, especially as the responsibility shifts to new program leaders and new information is requested.
Why do I have to sign into Church Center?
This allows parents to be able to fill out forms on the behalf of their children, which means the data goes straight to their child’s profile (saving hours of data entry for staff and volunteers). It also means that the information is behind password protection, meaning that your child’s profile information is safe from others outside their household from changing it.
Returning Students: Why doesn’t the form remember my information when I go check the profiles?
Unfortunately, the forms don’t have a draft setting. However, you can open the form in a different browser tab so it stays open while you check Church Center. Or, you can check profiles first, and then go to fill out the form.
Returning Students: Why can’t I edit certain information myself?
Child profiles are a great way to view the current information Westheights Kids & Student Ministries has. You can edit contact information, but everything else requires staff to edit to ensure the details are accurate. To ensure any updates are clearly communicated to program leaders, we prefer the process of staff editing it on behalf of the parents.
Returning Students: Why are there portions on my child’s profile that aren’t relevant? (i.e. Jr.High if a child is in grade 3, or Toddler Care if in high school)
Our system doesn’t let us specify which portion shows up for what child, so every answer for both Westheights Kids & Students will show up. The answers should be blank if they’re not in that program as Program Leaders are not looking there for information.
